Adding
Stamps to Your Collection Database
In order to start working with Stamp Keeper,
you will need to add stamps to your empty collection file. There
are two tools you can use to enter your collection. A continuous
series of stamps can be entered with the Group Add feature.
Or, you can enter single or duplicate stamps by clicking on the
Add button at the bottom of the Collection Entry Window.
Scott Catalog Numbers
When you select Add, you will be shown
a list of all the catalog numbers that are currently valid for Plate
Number Coils. After choosing the catalog number, you will be shown
all of the currently valid plate numbers associated with that item.
Selecting one of those will then display its denomination, year
of issue, description and current market values for a strip of 5,
a strip of 3, and a used single. If you select *Misc* from the catalog
number list you will be required to enter all pertinent information.
Type
The Type field contains a pop-up list
showing six choices: strip of 5, strip of 3, used single, strip
of 7, strip of 9, and cover. Click any selection to choose that
type. No price information is available for the last three choices.
Quantity
After entering the type, press <Tab>
to move to the Quantity field. You can either press <Tab>
again to select the default quantity of 1 or manually enter a quantity.
You can also use the up or down arrows to enter any number up to
999 for duplicate stamps. Keep in mind that all stamps included
in this record should have the same condition and original cost.
Year Purchased
The current year appears in the next entry
field as the default entry. You may enter any other valid purchase
year that you wish for record keeping purposes. If you enter a purchase
year that predates the year of issue, a dialog box displays the
valid date range you must enter.
Total Cost
Enter the amount you paid for the full quantity
of stamps in this record. Any figure up to $99,999.99 is accepted.
For example, if you bought two of the same stamp for $5.00 each,
enter $10.00 as the Total Cost.
Total Value
Stamp Keeper automatically calculates the
Total Value (stamp value multiplied by the quantity you entered).
If you do not agree with Stamp Keeper's listed price, you may, at
any time, enter a figure different from that shown. Type in your
own value (up to $99,999.99) or press <Tab> to accept the
program's supplied value. No value appears if you select strip of
7, strip of 9, or cover as the Type.
Location
Use the Location field to indicate
where this particular stamp is stored. You may enter any code up
to 10 characters if you wish. For example, PNC#2 could stand for
Plate Number Coils Album #2.
Comment
The Comment field provides space for
an optional unlimited length entry. Either a short note such as
"nice color" or a longer statement can be entered. If
you have manually changed a stamp's value and do not want the value
automatically changed when you purchase the Annual Market Value
Update, type "no update" in the Comment
field.
Want
To add a particular plate number coil to your personal want list,
click the check box in the Want field in the lower right
hand corner of the Collection Entry Window. You can later print
a list of all the stamps you have checked, by printing a Want List
from the Reports menu.
Completing Your Entry
Information about a stamp you have sold
can be entered now or later. Click the
Save button at any time while adding information in order
to record that item. You can always change or delete any record
that you have entered.
