Group Add with
Stamp Keeper and Stamp Keeper Deluxe
You may have been confronted with the daunting task of entering
a large collection one stamp at a time. There is a better way. If
you are like us, you probably own a rather complete all-mint collection
of United States stamps dating from the mid 20's to the present.
That roughly spans Scott numbers 610 to 3417. More than 2500 items
in all. "Group Add" to the rescue!

Using Group Add
Go to Utilities on the Menu Bar at the top of the screen and select
Group Add. Following the screen prompts, enter the beginning
and ending Scott catalog numbers. Then fill out the other
fields (Type, Quantity, Stamp Condition, etc.) recognizing that
all the stamps you are entering have the same qualifications. A
recent innovation in our programs is ability to have the Year Purchased
be either one date (i.e. 2001) or the year that each stamp was issued.
Another option is to have the stamp priced at zero, face value
or current market value. With just a few keystrokes, it is possible
in this manner to create hundreds or thousands of entries saving
a significant amount of effort.
A few touchups might be required. If you entered that big run of
thousands of stamps but are really missing a dozen or more from
your collection, you can go back to the Collection Entry screen,
choose FIND, call up their numbers one at a time and click the DELETE
button. If you are familiar with the use of the Edit Records
function, you can alternatively make your changes in a list mode.
Stamps entered in this manner are tagged with a Group Number.
Group Numbers are assigned sequentially by the program starting
with number 1. This number displays in the Stamp Entry window and
in the Value report, reminding you that the entry was made using
the Group Add feature.
The Group Number serves another purpose. Should you create
a Group and wish you hadn't for any reason, it can be deleted. Simply
select Group Delete from the same Utility menu and respond with
the Group number that you wish to have purged. Instantly, all those
records (though they number a thousand) are removed from the collection
database.
Group Add can be used in a number of ways. You can split up your
entries by "jumping" over the catalog numbers and thus
create two or more sets of groups. Either way, the Group
Add function, if properly used, can greatly reduce the time it would
take to enter your entire collection.
