Group Add with
Coin Keeper and Coin Keeper Deluxe

You may have been confronted with the daunting task of entering a large collection one coin at a time. There is a better way. If you are like us, you probably own a rather complete collection with many coins of the same denomination spanning a large number of years. That could be tens or hundreds of items. "Group Add" to the rescue!

Using Group Add

Go to the Utilities menu and select Group Add. In the dialog box, select a single denomination (i.e. Cents) and then enter a beginning and ending year, the Grade, Quantity, and so on. All the coins you are entering need to have the same qualifications. If you have a nearly complete collection of Lincoln cents of the same grade dating from 1909 to the present, this utility is for you. A recent innovation in our programs is the ability to choose the Year Purchased as either one date (i.e. 2001) or the year that each coin was minted.

Another option is to have the coin priced at zero, face value or current market value. With just a few keystrokes, it is possible in this manner to create hundreds of entries, saving a significant amount of effort.

A few touchups might be required. If you entered that big run of hundreds of coins but are really missing a dozen or more from your collection, you can go back to the Collection Entry window, click FIND, call up the coin record numbers one at a time and then click the DELETE button. Similarly, if a coin entered in this manner does not share the grade of all the others you entered using Group Add, simply FIND it and CHANGE the record. If you are familiar with the use of the Edit Records function, you can alternatively make your changes in a list mode.

Coins entered in this manner are tagged with a Group Number. Group Numbers are assigned sequentially by the program starting with number 1. This number displays on the Coin Entry window and in the Value report, reminding you that this entry was made using the Group Add feature

The Group Number serves another purpose. Should you create a Group and wish you hadn't for any reason, the entire group can be deleted. Simply select Group Delete from the Utility menu and enter the Group number to purge. Instantly, all those records (though they number several hundred) are removed from the collection database.

You can also enter multiple groups. Split up your entries by "jumping" over certain issue dates. Either way, the Group Add function, if properly used, can greatly reduce the time it would take to enter your entire collection.
